- Send an email and/or
letter to all first time guests thanking them for coming and offering
further information.
- Send an email to all
second time guests from the Senior Pastor that relays a warmer feel
and an update on current events at the church.
- Send an email to all
third-time guests from the ministry pastor that informs guests of
ministries available to serve them or in which they may choose to
serve. A current list of ministries & leaders is generated
from the database and attached to the email.
- Send an email to all
fourth time guests from the small groups pastor inviting them to a small
group. A list of all current open groups with contact
information is generated from the database and attached.
- Everyone who
indicated interest in serving in a particular ministry is sent more
information about that particular ministry. For example, if
someone signs up for the Greeter Ministry Team, they will receive an
email and/or letter telling them about the ministry and giving next
steps for involvement.
- Every leader of a
ministry for which people indicated an interest in serving is sent a
report with a list of those people’s names and contact information
so that the ministry team leader can follow up on them.
- Every staff member is
sent a list of items to follow up on as the database administrator
assigns them.
- A prayer list is
generated and sent to all staff and a non-confidential prayer list is
sent to the volunteer prayer ministry team.
- Key statistical
reports are sent to selected pastoral staff members and church leaders.
- Once a month all
small group leaders are emailed a roster of their group for
verification and feedback to the pastor who oversees groups.

the data is entered from the previous Sunday, all of the above tasks are
processed at the same time with one push of a button!
